The Department of Economic Security, Division of Employment and Rehabilitation Services (DERS) strengthens Arizona communities by bridging and minimizing gaps to employment and independence.
DES is seeking an experienced and highly motivated individual to join our team as an Executive Staff Assistant with the Assistant Director's Office (ADO). This position provides technical guidance and administrative expertise to the three Deputy Assistant Directors of the Division of Employment and Rehabilitation Services (DERS). The Executive Staff Assistant in this position will also represent the Deputy Assistant Directors and participate in meetings with other division heads or their representatives concerning fiscal control, resources management, and coordination of state and federal programs.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:
Essential duties and responsibilities include but are not limited to:
• Provides administrative expertise to the Deputy Assistant Director's, the Program Administrator’s, and the Executive Assistant of DERS.
• Works with Deputy Assistant Director's to develop and implement strategies to ensure efficient operations.
• Consults with and guides Program Administrators regarding program goals, objectives, accountability, and quality.
• Provides administrative assistance to the Deputy Assistant Director's to include calendaring, room reservations, travel requests and reimbursement, and document creation and maintenance.
• Acts as the liaison for the Deputy Assistant Director's in guiding the Program Administrators with work plans and operational strategies.
• Acts as a liaison to the DES Directors Office.
• Research information, attends meetings, takes notes, relay necessary information to each division as appropriate.
• Lends technical guidance and administrative expertise that includes but not limited to designing, developing, implementing, and evaluating organizational objectives for the Division.
• Gathers statistical data to formulate and prepare a variety of technical and administrative reports and presentation materials representing the goals and achievements of the Division.
• Initiates business reports, research projects, formal recommendations and solutions for problems related to personnel management, operating procedures, budget development and control, and organizational planning.
• Activities will include the development of tracking matrices and writing response to state and federal audits.
• Develops, maintains, and publishes project status reports to communicate project progress, status, and risks.
• Serves as the central point of contact for project communications or questions.
• Uploads project documentation, submits status reports as required, develops, and delivers presentations as requested regarding project progress and updates.
Knowledge, Skills & Abilities (KSAs):
• Knowledge of the concepts of program planning and designing, state and federal laws, regulations and trends in employment and rehabilitation programs.
• Knowledge of internal organization, management, business, and public administration practices.
• Skill in strong public relations, oral and written communication skills and the ability to establish and maintain professional working relationships.
• Ability to develop and implement functional program objectives.
• Ability to review and evaluate program activities analytically and develop effective work plans and methods for improvement.
• Ability to act independently requiring own initiative.
Selective Preference(s):
The ideal candidate for this position will have:
• Five years of progressively responsible administrative experience, and background in the development and implementation of improved business practices.
• Develop knowledge of division goals, directives, and policies as acquired through internal training and special assignments, interpretation of federal and state rules and regulations.
Pre-Employment Requirements:
• Successfully pass background and reference checks; employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.

• Travel will be required for State business. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on State business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on State business shall maintain the statutorily required liability insurance (see Arizona Administrative Code R2-10-207.11).

Retirement:
State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
